On occasion you may need to create a time off request on behalf of an employee. A typical scenario is when an employee approaches the employer at the last minute with an urgent request, which was not foreseen and cannot be prevented.
Time off requests cannot be created for the past. Additionally, time off requests cannot be edited - they must be declined/deleted and a new request created.
Navigation
From the Time Off Dashboard, click on 'Add Time Off'.
This functionality is available to Administrators, and Managers with the Manage Time Off permission.
Create time off request
Select the Employee and enter relevant dates. By default, 'Full Days' is selected. Alternatively, uncheck this to allow 'Partial Day' request, (specify date & time)
If time off types have been enabled for the Company (refer to Time Off Types | SocialSchedules Help Center), a time off type field will appear once a Worker is selected.
When a paid time off type is selected, an option for paid hours will also appear.
Use the duration date/time fields to indicate when the employee is unavailable to work.
Use the paid hours field to indicate how many hours of this time should be paid.
Review and approve
Once the request has been created, you are given the opportunity to review the request prior to Approving.
For companies using Salaris Payroll, the employee's current balance will be displayed against the requested number of paid hours. Managers can use this information to decide whether to approve or decline the request.
Once the request has been approved and taken, the employee's leave balance will be automatically updated in Salaris.
If other employees have pending or approved time off during the period requested, these will be displayed at this time, along with the shifts currently assigned to the employee during the requested period of time off.
Once the request has been reviewed, select Approve to finalize (or Decline to reject).
Note the time off requests cannot be edited. If a change is needed to the request, either decline it to notify the employee of the required change or delete it.
The employee will receive a notification the request has been approved.
