Manage requests submitted by your employees

Introduction

The time off feature allows employees to submit requests to their employer. After review, the employer can approve or decline, based on business requirements.


Navigation

Select Time Off in the Main Menu.

To view, manage, and be notified of time off requests for employees in their department/s, managers must have the Manage Time Off permission. (Administrators have full access to all time off requests).


Notifications

Administrators, and Managers with the Manage Time Off permission, will receive a notification when an employee submits a time off request. These are accessible from both the desktop and mobile applications.

Time Off Dashboard

All requests are managed from the Time Off dashboard. The initial display lists all entries.


Filtering Options

The use of advanced filtering lets you quickly find relevant results. You can apply a single filter, or a combination of filters.

Date
Select the desired date range. This date filter is for the time off dates requested, not the date the request was submitted by the employee.

Departments

Select a department/s. They are associated to the relevant location (if applicable) under your company account. If none are selected, all departments are shown.

Status
Select the desired status/es. If none are selected, all statuses are shown.

Time off requests can have one of three statuses:

  • Pending (decision has not yet been made by the manager)

  • Approved (the time off request has been approved)

  • Declined (the time off requests has been declined).

Positions
Select the desired position/s. If none are selected, all positions are shown.

Workers
Select the desired worker/s. If none are selected, all workers will be shown.

Companies who have time off types enabled will also see the Type field populated. This will have one of three values (depending on what is enabled): Unpaid leave, Paid sick leave, or Paid time off.

For paid types, the number of hours paid leave being requested will also be shown.


View details

All requests are placed in a Pending status upon initial creation. To review from the dashboard, click on a request to see additional details. This may include a brief comment from the employee in support of their request.

Where the employee has published or draft shifts for the requested date/s, click on the 'shifts' hyperlink to show details. When approved, future shifts are converted into shift opportunities.

Where the requested date/s have also been requested by other employees, these employees are displayed by clicking on the 'workers' hyperlink. Additionally, the employee will also show here if they have previous requests for those dates.


Change the status of the request

Once a requested has been Approved, you have the option of changing the status to Declined. Additionally, you can choose to delete the request.

To change from Approved to Declined, click on the 'status'

To delete the request, click on the 'actions' icon


Export Time Off

Premium subscribers will see an additional option to export a list of Time Off requests to a CSV file. The button is next to 'Add Time Off'.

Apply the appropriate Time Off filters to define what is to be included in the export.

Note: Departments and Positions are not included in the export. Time off requests are at the Company level and are associated to the Worker.

Once filters are set, click on 'Export'. A notification will appear, indicating an email will be sent when the export is available for download. Typically this will be available within a few minutes.

Click on the 'DOWNLOAD' link within the email to download the CSV file to your local machine.
