User Access and Permissions

Give staff access and permissions appropriate to their role & duties

Access levels and permissions control who can see and do what within your schedules and company account.ย 

Network > Worker Profile > Access & Permissions

SocialSchedules has 3 permission levels:

  1. Employee

  2. Manager

  3. Administrator

Access & Permissions is only available on browser in desktop or laptop. It is not available in the mobile app, nor can it be accessed from a browser on mobile.

Employee

Users with Employee access do not have access to the company account and do not have any sub-permission options. Employees are restricted to their own personal/worker account data e.g. shifts / timecards / time off / availability


Note - Within each individual schedule you specify which workers have permission to swap and drop shifts via Schedule Settings

Manager

have access to the company account, with what they can access and perform within the company account being controlled by their manager sub-permissions.

Administrator

Admins have full access to the company account, in that they can see and modify all company settings and information. Only business owners and senior managers that are highly trusted should be given Administrator access. Admins have no sub-permissions as they inherently have all permissions.

When a company also has Salaris Payroll enabled, administrators will also have full access to Payroll. This includes:

  • Access to billing and invoices

  • Reviewing and editing payrolls

  • Submitting payrolls

  • Viewing employee salaries and position rates

Owner Administrator

Manager Sub-Permissions

Managers have permission to perform extra functions within the company account. Managers can be assigned permissions for the following:

  1. Manage schedule

  2. Manage time off

  3. Manage deliveries

  4. Manage company Network and Worker Profiles

  5. manage availability

  6. Manage timecards

  7. Manage attendance settings

  8. Manage sales and labor costs

  9. Manage certifications

  10. Manage time clocks

  11. Manage billing and payments

Manage Schedule

  • Can create/edit shifts and publish schedule

  • If disabled, provides read-only view of the Weekly Schedule

By default, all managers will be able to fully manage that schedule/s (e.g. create, edit, and publish shifts). You can choose to provide managers read-only access to schedules by disabling the Manage schedule permission (see next section).

The first step in setting up manager access for a user is selecting the schedule/s you would like them to access.

Handy tip - Each individual user can choose which schedules they would like to be notified about via their Notification Preferences

Manage Time Off

  • Can manage time off requests submitted by employees

  • Can create time off requests on behalf of employees

Manage Deliveries

  • Can create InhouseDelivery orders

  • Can manage InhouseDelivery orders

Manage company Network and Worker Profiles

  • Can view/edit all worker profiles in the company network

  • Can add/remove workers to/from the company network

Manage Availability

  • Can create / edit / delete / availability sets

  • Can approve or decline availability requests

Manage Timecards

  • Can view / edit / approve / export timecards

  • Manager will only have visibility of timecards that are produced as a result of shifts scheduled within the schedules that they manage

  • An additional sub-permission is available here to indicate if the manager can perform actions against their own timecards. This is toggled on by default. If toggled off, managers will be able to view their own timecards, but will not be able to create, edit, or delete them.

Manage Attendance Settings

  • Can administer Attendance Settings (by Location) including;

    • Mobile Clock In & GPS

    • Photo Confirmation

    • Early Clock In and Unscheduled Shifts

    • Breaks Clock In and short break prevention

    • Enable Tips & Sales

Manage Sales and Labor Costs

  • Can view/edit hourly rates for workers and company positions

  • Can view/edit sales and labor cost information for each schedule

  • Can view labor costs in timecards

Manage Certifications

  • Can administer company certifications

Manage Time Clocks

  • Can administer Time Clocks (by Location) including;

  • Create kiosk on Desktop App

  • Download and install Time Clock App to tablet, (iPad or Android tablet)

  • Login to Time Clock and complete set up to bring 'online'

Manage Billing and Payments

  • Can view and change subscription plan

  • Update payment details

  • View and download invoices
