Open shifts

Create, advertise and fill an open shift opportunity

Written by Kevin

Introduction

Open shifts are shifts that you need to fill. You can invite a specific employee or group of employees to apply. Alternatively, you can advertise a shift to all employees in your network who have the position or skill you require in their profile, and then choose the most suitable applicant.

View open shifts

Click Open shifts at the top of the Scheduler to show or hide open shifts. This option is on by default.

The table shows each open shift with its position, time, and how many slots are filled (for example, 0/2). The row label on the left shows the total number of open shifts and their combined hours.

Add an open shift

To add an open shift, use either of these options:

  • Click Add open shift + at the bottom left of the open shifts table.

  • Click the cell for the day you want in the open shifts table.

  • Click Tools > Add > Add open shift from the top menu

The Open shift window opens.

Enter the shift details

In the Shift tab, enter the following details:

  • Date: The date of the open shift. If you clicked a cell, the date is already filled in.

  • Position: The position required (for example, Bartender). Next to it, enter the number of slots, which is how many people you need for this shift (for example, 2 bartenders).

  • Start / end times: When the shift starts and ends. Select Until required if there is no fixed finish time.

  • Unpaid break: How long the unpaid break is, in minutes.

  • Offsite address: Turn this on if the shift takes place elsewhere, then add the location.

  • Sections: The work area where the shift will be worked, if relevant. You can select an existing section or add a new one.

  • Shift note: Add any extra information for the shift.

Choose who can apply

Select the Invites tab. Under Who can apply, use the Set visibility drop-down to choose which workers will be notified:

  • Invite only: Only the workers you select are notified and can apply.

  • Network only: The open shift is automatically sent to all appropriately skilled workers in your company network.

If you choose Invite only, select the workers to invite under Select workers to invite:

  1. Click Invite someone else +.

  2. Select the worker you want to invite. Repeat to add more.

  3. The Workers list shows everyone who has been invited. Use the Actions column to manage each worker.

Auto approve

After you select one or more employees, you can set Auto approve for an employee by clicking the option in the auto approve column next to their name. If that employee applies, they are automatically assigned the shift, even if another applicant who doesn’t have auto approve applies first.

If there is only one slot to fill and auto approve is set for several employees, the first to apply gets the shift.

When you’re ready, click Save as draft to keep the open shift unpublished, or Save and publish to send it out.

Note: Open shifts can only be published one at a time. Bulk publishing is not available for open shifts.
